Furthermore, compliance with KVKK (Personal Data Protection Law) standards, manual sending of patient appointment reminders (SMS/Email), and managing laboratory workflows (prosthesis tracking, etc.) via paper make operational errors inevitable. It has become mandatory for the clinic to migrate to a minimalist, high-performance cloud automation system that protects patient data with the highest encryption standards, asynchronizes appointment and treatment management, and is instantly accessible from all devices.

Patient records were kept in paper charts and independent Excel spreadsheets. Accessing a patient's medical history, past treatments, or billing status took several minutes. Lost charts occasionally had a negative impact on treatment planning.

Appointment Conflicts and Tracking Difficulties

Appointments were manually written down in a logbook. Booking multiple patients for the same slot, difficulties for doctors to view their daily schedules, and untracked cancellations were frequent challenges.

Gaps in Financial Tracking

Outstanding balances per patient, monthly revenue status, and treatment-based earnings could not be tracked accurately. The clinic owner could only learn about the financial health of the business at the end of the month from the accountant.

Lack of Laboratory and Inventory Monitoring

The status of prosthetic or crown orders sent to the lab was tracked via phone calls. Stock levels were checked manually, and shortages were often noticed only when a product completely ran out.

The clinic owner was planning to open a second branch. The existing paper-based workflow made it completely impossible to manage multiple locations from a centralized system.

A comprehensive full-stack architecture was built featuring 22 React components on the frontend, 72 PHP API endpoints on the backend, and 13 database tables. Multi-clinic support was achieved by isolating all tables using a clinic_id. Distinct permissions and access boundaries were defined at every level via user roles (Super Admin, Admin, Doctor, Staff, Patient).
